There’s short-form copywriting. There’s long-form copywriting. And then, there’s web copywriting—an amalgamation of the two superpowers. A large web content project demands all the best a writer can bring to the table across every skill set they’ve got. And even the most experienced writers have to work extra hard to get it just right.
Done right, it feels like a perfect symphony—each headline tying back to key themes and motifs, each sub-header picking right up where the headline left off to complete a thought and convey a feeling. Every body paragraph setting up a fresh idea that interplays with every other message laid out on a page. And every page fitting in with the others’ style, voice, and structure all while contributing its own spotlight solo within the greater song.
Large web content projects are the most labor-intensive, time-intensive thing we do at Write On—they typically require a whole team of writers and strategists. But amid all those moving parts and people, any small problem or oversight will quickly snowball into a massive headache that will require a lot of rework later. On top of that—and to the detriment of everyone’s blood pressure—most gaps and issues are often discovered late in the process when developers are flowing copy in.
Nobody wants the final sprint to be a mad dash—it’s not how we roll at Write On, and it’s certainly not a great experience for clients or creatives. Here are the preventative best practices that help us avert such cascading tangles and, instead, see things through harmoniously.
Spend more time and resources on strategy than you might think you need to.
Unfortunately, it isn’t possible to spin fabulous content from a set of wireframes, a PowerPoint deck, and an email from the CEO. The good news: if you lay a proper strategy foundation comprehensively covering every detail the writers will need, they’ll have a complete blueprint to work from and success is all but guaranteed.
The strategic foundation should always include a few things: for starters, clear brand voice and style guidelines that give the writers everything from the personality they should inhabit to the protocol for capitalizing sub-headers.They also need a strong brand messaging framework that outlines the hierarchy of what the brand is all about, who it’s talking to, and when certain selling-points and supporting points should take the stage.
And finally, the writers need detailed page plans that outline page-by-page, section-by-section, what the copy needs to convey. This spares the writer the massive guesswork required to tease out which messaging belongs where when all they have is a brand deck and some wireframes.
When writers are equipped with all of the above, we can’t quite say that the copy writes itself … but it does proceed very smoothly indeed.
Be so organized that it seems excessive.
With large web content productions, a project manager isn’t a nice-to-have—they’re a need. Writers and strategists have plenty of work to do, and keeping the process perfectly organized can be beyond their bandwidth and their wheelhouse.
Everyone on the project needs access to a centralized tracking chart. The chart should show every page on the to-do list, every anticipated round of revision, links to copy decks, links to strategy page plans, links to wireframes, and notes about any outstanding blocks or gaps preventing the page from moving forward. That way, anyone from writers to PMs to clients can see exactly where everything is and where holdups lie.
Copy docs should be sorted in a super-tidy folder system that makes it easy to view each round of content and each round of client feedback. With superb, stickler-grade organization, you eliminate the headache of wondering what the status of any page is, what info is still required to write it, who still needs to review it, and when it’s ready to go to the design and dev folks.
Follow a pitch-perfect process.
Every single person involved will reap fabulous rewards if they adhere diligently to a predefined process—consolidating all feedback from all stakeholders for all rounds before anything moves forward. Every reviewer needs to see the strategy as well as every round of copy so there are no surprises halfway down the pipeline (or worse, near the end of the project).
Every round of review and revision should be managed like the project depends on it—because it does!
With every part in order and the process in ship shape, it’s now up to the writer.
Writing original headlines for every section of every page of a sprawling site is no small task—let alone writing them all in brand voice, all in a consistent style, and all mapping to deliberate components of your brand messaging framework.
We’ve found that it’s a narrow subset of professional writers who can truly make web content sing: they must be true senior-level craftspeople with deep experience in branded copy, a sharp knack for organizing a huge quantity of thoughts and ideas, and a keen gift for writing clever-yet-strategic headlines—in bulk.
But the right writer relishes the challenge, stockpiling ideas, poring over inputs, teasing stories out of metrics … then culling it all down to the character limits allotted for each module, line, and section. It’s like form poetry, where a tight structure creates the perfect container for concise and deliberate storytelling.
No matter how senior your writer, you still need a single CD or editor to give a thorough look over every single page so little inconsistencies don’t propagate, the tone is seamless, and anything that needs to be repeated across pages is put in place.
